Haulage Cost and Trip Calculator

Calculate whole trips, return distance, fuel expense, total and unit costs, and a quote with markup.

Haulage budget

Divide the quantity to move by usable capacity per trip and round up. Include the return leg in every trip before calculating fuel use. The calculator adds fuel, fixed expenses per trip and the cost of the vehicle days you enter.

Example

Moving 100 tonnes with 20 tonnes per trip takes 5 trips. At 50 km each way the vehicles travel 500 km. Consumption of 30 litres per 100 km and a price of 2 per litre gives a fuel expense of 300. Adding 10 per trip brings the cost to 350.

Scope

Markup is applied to cost. Duration is not calculated. Default prices are examples. Taxes, actual payloads and operating restrictions require separate assessment.

Keep the partial final trip in the budget

Take example load 45 tonnes, capacity 20 tonnes per trip and distance in one direction 30 km. Three trips are needed, giving total distance 2 × 30 × 3 = 180 km. At consumption 10 L/100 km and price 5 per litre, fuel is 18 L and fuel cost 90. Add fixed cost 15 per trip and 2 vehicle days at 30 per day. Total is 90 + 45 + 60 = 195. Adding 20 percent markup gives quote 234. Prices are examples only.

A lightly loaded final trip still incurs the full route cost. Slightly exceeding capacity can require another trip, so unit cost does not always vary linearly with load. Do not derive vehicle days automatically from trip count. Enter actual planned charged vehicle days.

Markup on cost is not profit margin on the selling price. Total cost divided by quantity is a unit cost without profit. Quantity and capacity must use the same measure. When using volume, check mass limits separately. If loaded outward and return legs consume differently, ensure the entered average represents the whole distance.

Frequently asked questions

How do you calculate haulage cost per tonne?

For example, hauling 100 tonnes with capacity 20 tonnes over 75 km each way costs 5 currency units per tonne. Divide round trip fuel and fixed expenses by load, using example fuel price 2, consumption 30 litres per hundred kilometres and example fixed expense 10 per trip, noting that this preliminary estimate does not check legal load limits.
